Providers & Staff

Providers are your staff members who provide services to clients. Learn how to add providers, manage their schedules, and configure permissions.

Adding Providers

Providers are staff members who can be assigned to services and appointments. Each provider can have their own schedule, permissions, and profile.

Creating a Provider

  1. Navigate to Contacts > Providers
  2. Click "Add Provider" or "New Provider"
  3. Enter the provider's information:
    • First name and last name
    • Email address
    • Phone number
  4. Save the provider

After creating a provider, you can set their schedule, assign them to services, and configure their permissions.

Provider Schedules

Each provider can have their own individual schedule that differs from your salon's general schedule. Provider schedules determine when that provider is available for appointments.

Regular Schedules

You can create regular weekly schedules for providers. These schedules define which days of the week and what times the provider is available. The system uses these schedules when checking availability for appointments.

Exception Schedules

Exception schedules allow you to override a provider's regular schedule for specific dates. Use exception schedules for:

  • Holidays and time off
  • Special working hours on specific dates
  • Temporary schedule changes

Exception schedules take precedence over regular schedules. When checking availability, the system considers both regular and exception schedules.

Attendance Tracking

Providers can check in and check out to track their work hours. This feature records when providers start and end their work day.

Check In / Check Out

Providers can use the attendance feature to check in when they start work and check out when they finish. The system records today's attendance, which can be useful for:

  • Payroll verification
  • Scheduling verification
  • Work hour tracking

Attendance data is available through the provider's profile or dashboard.

Permissions & Roles

Providers can be assigned roles that determine what they can access and modify in the system. This helps you control staff access levels without giving everyone full admin rights.

Assigning Roles

When creating or editing a provider, you can assign them a role. Each role has specific permissions for different areas such as:

  • Appointments (create, view, update, cancel)
  • Clients (view, create, update)
  • Services (view, create, update)
  • Settings and configuration

Service Assignment

After creating a provider, you can assign them to specific services. Typically, only providers assigned to a service are available for booking that service.

Assigning Services

You can assign multiple services to a provider, and a service can be assigned to multiple providers. This allows you to:

  • Control which providers can perform which services
  • Offer services with multiple provider options
  • Manage provider specialization
